Academic Honesty - Case Files

Consists of records relating to findings of academic misconduct. Records may include the record of offense, the work in question, letters of notification, forms signed by the student agreeing to the complaint, minutes from departmental meetings, investigations, correspondence and supporting documentation.

Retention Rationale

Section 3.6.10 of the Senate Policy on Academic Honesty states "A record of the proceeding will be retained in the Office of the Dean of the student's home Faculty, regardless of the severity of the penalty, and held for a time consistent with the University's records retention guidelines. If a penalty is imposed that requires an alteration of a student's academic record, a copy of the decision of the committee will be sent to the Registrar's Office for a time consistent with the University's records retention guidelines."


Filing Guidelines

The Record of the Proceeding must be kept permanently, by the Office of the Dean of the student's home Faculty; all other supporting documentation can be destroyed one year after such time as appeals are exhausted or abandoned. Where a decision is reflected on the student's academic record, a copy of the decision is provided to the Registrar's Office which will retain it permanently.
