Academic Honesty - No Finding - Case Files

Consists of records relating to academic honesty where there has been no finding of academic misconduct. Records may include the record of complaint, the work in question, letters of notification, notes from departmental meetings, correspondence and supporting documentation.

Retention Rationale

For exploratory meetings at the unit level section 3.5.2(i) of the Senate Policy on Academic Honesty states "It is agreed by all parties that no breach of academic honesty occurred. No records of the matter shall be retained." For formal hearings at the Faculty level section 3.6.8 of the Senate Policy on Academic Honesty states "If the committee does not render a finding of academic misconduct, all records of the charge and hearing will be held by the student's home Faculty until such time as appeals procedures are exhausted or abandoned. Thereafter, a record consisting of the complaint and the decision letter will be placed in a confidential file retained in the Office of the Dean of the student's home Faculty."


Filing Guidelines

For records of formal hearings at the Faculty level, only the record of the complaint and decision will be kept permanently; all other documentation must be destroyed one year after such time as appeals are exhausted or abandoned.
